How to track your time

  1. Tap start

    One tap starts the timer. Then you enter client, project and task. Client and project each have their own field.

  2. Work and stop

    The timer keeps running even when the screen is locked. You add forgotten times by hand, and every session can be edited later.

  3. Totals and export

    The daily list shows daily and weekly totals. At the end of the month you export your hours as CSV or as a PDF hours report.

What belongs in time tracking for invoicing

Tracked time only earns money if you can match it to an invoice later. "Worked 4 hours today" helps neither with billing nor with follow-up questions. Every entry should include:

Time tracking without setup

Many time tracking apps first want projects, clients, tags and a login. By the time everything is set up, you have forgotten what you were working on. Often it is abandoned after a week.

As a freelancer, what you mainly need for your invoice is an honest number of hours. That is why the app starts with the timer, not with project management. What you enter for client, project and task, you decide while tracking.

Why clean time tracking pays off

If you do not record time right away, you almost always underestimate it. Short phone calls, rounds of corrections and emails add up, and without tracking they never end up on the invoice.

If a client asks what the hours were for, you have a breakdown per project. Across several jobs you also see how much time a type of job really takes, and you can price your quotes accordingly.

In Germany, business records and invoices are subject to retention requirements (§ 147 of the Fiscal Code, AO). What that means for your documents is something to clarify with your tax advisor.

Spreadsheet or app?

A spreadsheet on your computer or a sticky note costs nothing. But when you are out or on a quick phone call, you rarely enter anything there, and at the end of the month the details are missing.
