When you move in and when you move out, go through room by room and record every defect with a photo. The app sets the date and time, and you add meter readings, keys and the signatures of tenant and landlord directly on the screen. How your inspection report comes together

  1. Go through room by room

    Choose the room or create your own. You photograph every defect directly with the camera and add a category and description. The app sets the date and time.

  2. Record meters and keys

    You enter electricity, gas and water with meter number and reading. You record the keys by number and type, each as handed over or returned.

  3. Sign and create the PDF

    Tenant and landlord sign on the phone, and you note witnesses in the entry. This becomes a PDF report with all photos that you print or send by email.

What belongs in an apartment inspection report

The report records the condition in which the apartment was handed over. That is exactly what matters later when it comes to defects and the deposit. It should include:

Inspection report and deposit

The most common dispute at the end of a tenancy is about the deposit. A report with dated photos shows what was already there when you moved in.

Normal wear and tear is not your responsibility: in Germany, under § 538 of the Civil Code (BGB), you are not liable for wear resulting from use in line with the contract. Under § 551 BGB, the deposit may be at most three months' base rent, excluding heating and utilities. Under § 548 BGB, the landlord's claims for compensation for changes to the apartment become time-barred six months after the apartment is returned.

Whether a specific deduction is justified depends on the individual case. In a dispute about the deposit, a tenants' association or a lawyer can help you.

How to make the handover go well

  • Arrange the appointment in daylight so you can really see defects.
  • Go through the apartment together instead of just signing a finished report.
  • Read the meters right at the appointment.
  • Photograph seemingly small things too.
  • Both of you sign right away during the walk-through, and take a copy with you.

When you move out, you do the same walk-through again and compare it with the move-in.

Inspection report template or app?

A printable form covers the same points and costs nothing. But on handover day the sheet is often not at hand, and loose photos on your phone are hard to match to a room later.

In the app, every photo is attached to the right room and carries the date and time. Signatures are made on the screen, and the finished PDF contains everything in one place.

What the app costs

Defects with photo and timestamp, meter readings, key log, witnesses and signing on the phone are free and unlimited. The free version shows ads. A one-time purchase in the Play Store unlocks the PDF report and removes the ads. There is no subscription, and you can use the app again every time you move.

Common questions about the apartment handover

Do I need a report for the apartment handover?

A written report with dated photos records the condition of the apartment when you move in and move out. Without it, it is often your word against theirs later when the landlord wants to deduct something from the deposit.

Do tenant and landlord sign in the app?

Yes, both sign directly on the phone's screen. You also note the names of the witnesses who were present at the handover.

Can I share the report as a PDF?

Yes. The PDF report (one-time purchase) contains all photos, defects, meter readings, keys and signatures. You print it or send it by email to your landlord or the building management.

Does the report help me get my deposit back?

The more completely you record the condition when you move in, the harder it is to justify deductions for defects that were already there. Whether a deduction is justified still depends on the individual case.

Does the app work without internet?

Yes, recording works offline. Photos, data and signatures stay on your device, and you do not need an account.

Is the app available in other languages?

Yes, in 24 languages, all the official languages of the EU. That helps when tenant and landlord do not share the same native language.
